3. Business intelligence information
Vallience researches organisations using publicly accessible and, where applicable, licensed information.
Sources may include:
- Company websites.
- Official announcements and press releases.
- Reputable news and media publications.
- Public company registers and filings.
- Publicly accessible business databases.
- Other lawful public or licensed sources relevant to a competitor scan.
The sources used may vary according to the organisation and the scope of a scan.
Where available, Vallience retains source attribution and publication dates so users can examine the evidence supporting an assessment.
4. References to individuals
Vallience analyses organisations rather than individuals.
A report may name a person where their professional identity is materially relevant to a significant, publicly reported business event. Examples include the appointment, departure or replacement of a senior executive or founder.
In these circumstances, Vallience may process limited professional information such as:
- The person's name.
- Their professional role.
- Their organisation.
- The publicly reported event.
- A relevant public statement.
- The source and publication date.
Vallience does not intend to:
- Create standalone personal profiles.
- Monitor people independently of an organisation.
- Collect private contact information.
- Collect information about private or family life.
- Infer sensitive personal characteristics.
- Evaluate a person's character or private behaviour.
- Include personal social activity unrelated to the organisation's business.
- Speculate about personal motives that are not supported by reliable reporting.
5. How we use personal information
We may use personal information to:
- Create and manage accounts.
- Authenticate users.
- Create and maintain customer workspaces.
- Save onboarding and organisation information.
- Provide competitor scans requested by users.
- Research publicly accessible business information.
- Identify relevant business events and evidence.
- Generate competitor intelligence assessments.
- Display scan progress and completed assessments.
- Maintain a history of a customer's scans and reports.
- Communicate about accounts, security and the operation of Vallience.
- Provide customer support.
- Investigate inaccuracies, objections or removal requests.
- Protect Vallience against misuse, fraud and security threats.
- Diagnose technical problems.
- Understand and improve the service.
- Comply with legal obligations.
- Establish, exercise or defend legal rights.
We will not use information appearing in competitor research to make decisions that produce legal or similarly significant effects about the individuals concerned.
6. Lawful bases
UK data protection law requires us to have a lawful basis for processing personal information.
The basis used depends on the information and the purpose for which it is processed.
Contract
We process account, onboarding and service information where necessary to:
- Take steps at your request before entering into a contract.
- Create and administer your account.
- Provide scans and assessments you request.
- Provide any subscription or service you purchase.
- Manage the contractual relationship between you and Vallience.
Legitimate interests
We may process information where necessary for our legitimate interests or those of our business users, provided those interests are not overridden by the rights and interests of the person concerned.
Those interests may include:
- Providing legitimate business and competitor intelligence.
- Researching publicly reported developments concerning organisations.
- Identifying commercially relevant events.
- Operating and improving Vallience.
- Maintaining evidence supporting assessments.
- Protecting our systems and preventing misuse.
- Establishing, exercising or defending legal rights.
Where a person is named in a report, we consider:
- Whether their identity is necessary to explain the event.
- Whether the information concerns their public professional role.
- The reliability and nature of the source.
- Their reasonable expectations.
- The possible effect of including the information.
- Whether less personal information could achieve the same purpose.
Legal obligation
We may process information where necessary to comply with legal obligations, including accounting, taxation, fraud prevention and responding to lawful requests from public authorities.
Consent
Where required, we may rely on consent for:
- Non-essential cookies or similar technologies.
- Particular electronic marketing communications.
You may withdraw consent at any time. Withdrawal does not affect processing that occurred before consent was withdrawn.
7. Automated and AI-assisted processing
Vallience uses automated systems, including artificial intelligence, to support research and assessment generation.
These systems may:
- Identify potentially relevant evidence.
- Classify information.
- Summarise source material.
- Compare information from different sources.
- Identify possible trends or commercially relevant changes.
- Generate draft analysis and intelligence assessments.
Automated systems can make mistakes. They may misunderstand information, miss relevant evidence, associate information with the wrong organisation or draw conclusions from incomplete material.
Vallience assessments are business-research outputs, not authoritative statements of fact. Users should examine the supporting sources and independently verify important findings before acting on them.
Vallience does not use this automated analysis to make decisions that produce legal or similarly significant effects about individuals appearing in source material.
9. Intelligence reports
A Vallience assessment is made available to the user who requested the relevant scan through their account.
Reports may contain limited references to individuals where their professional identity is materially relevant to a significant business event.
Users are responsible for using reports lawfully and in accordance with the Vallience Terms of Use.
10. International transfers
Some service providers may process personal information outside the United Kingdom.
Where a restricted international transfer occurs, we will use an appropriate mechanism required by UK data protection law. Depending on the destination and circumstances, this may include:
- A UK adequacy regulation.
- The UK International Data Transfer Agreement.
- The UK Addendum to approved standard contractual clauses.
- Another lawful transfer mechanism.
The providers, locations and safeguards actually used must be confirmed before this notice is published.
You may contact us for more information about applicable transfer safeguards.
11. Retention
We retain personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet legal, accounting, security and operational requirements.
Retention is determined according to the type of information and why it is needed.
For example:
- Account information may be retained while an account is active and for an appropriate period afterwards.
- Onboarding information may be retained while needed to provide and personalise the service.
- Competitor, scan and assessment records may be retained while needed to provide report history and allow customers to access previous work.
- Research evidence may be retained where necessary to support an assessment, verify its basis or respond to a correction request.
- Support and privacy correspondence may be retained while needed to resolve the matter and maintain an appropriate record.
- Transaction records may be retained for applicable accounting and taxation periods.
- Technical and security logs may be retained for an appropriate period for diagnostics, fraud prevention and security.
We may delete or anonymise information when it is no longer required.
Specific production retention periods should be documented in Vallience's internal retention schedule.
12. Security
We use reasonable technical and organisational measures intended to protect personal information from unauthorised access, disclosure, alteration, loss or destruction.
These measures may include:
- Access controls.
- Authentication.
- Separation of customer records.
- Secure infrastructure.
- Appropriate encryption provided by production systems.
- Monitoring and incident-response procedures.
No internet-based service can guarantee absolute security.
14. Marketing
Where permitted by law, we may send business users information about Vallience.
Where consent is required, we will obtain it before sending marketing communications.
You may opt out at any time using the unsubscribe mechanism provided or by contacting info@vallience.co.uk.
Account, security, service and transactional communications are not marketing communications and may still be sent where necessary.

16. Objections and corrections
Where we process information based on legitimate interests, you may object in certain circumstances.
If you believe a Vallience assessment contains personal information about you that is inaccurate, outdated, unnecessary or inappropriate, contact:
Please provide enough information to identify the relevant report, event or source.
We will consider the request under applicable data protection law. Where appropriate, we may:

Changing a Vallience assessment will not alter the original information published by a third-party source.
17. Children
Vallience is a business intelligence service intended for adult business users.
It is not intended for children, and Vallience does not knowingly design the service to collect information from them.
If we learn that information concerning a child has been collected inappropriately, we will investigate and take appropriate action.
